VENDOR APPLICATIONS CLOSE SEPTEMBER 15 〰️
RUN FOR REFUGEES FUN RUN, 5K & FESTIVAL, hosted by the Dallas Muslim Running Club (DMRC) and benefiting Ma’ruf Dallas will take place on September 28, 2024 at Sam Houston Trail Park located at 101 E. I-635, Irving, TX. We will kick off this event with the first race beginning at 9AM!
The community event will feature a wide range of family fun including a kids zone with inflatables, face painting, artisan crafts and plenty of delicious food offerings. The city of Irving has supported this event with the mayor in attendance previously. Over 1000 guests are expected and we anticipate with our entire community coming together that sales will be very strong and that our community will be happy to support locally owned and run businesses. Last year, many of our vendors SOLD OUT and the feedback was phenomenal.
Run for Refugees will welcome our first guests at 8AM and kick off with the FUN RUN at 9AM. All vendors MUST be setup no later than the start time of 9AM and must commit to staying at the festival until 1PM.
Applications are due by August 31 and vendor fee will be requested upon approval of selection. Vendor booth fees are $125 due upon approval of the vendor and are non-refundable.
For Jury selection of items sold / vendors
Sponsors who have commited early and include vendor tables at time of sponsorship will be guaranteed a spot under the vendor canopy. Returning vendors take priority if they have submitted an application for the current year. After that, all vendors are on a first-come, first-served basis and will be notified by the Run for Refugees committee when/if they are approved. All Vendors will be notified of their application status as soon as possible. All fees are non-refundable. Vendors have three business days to make payment after being notified they have been approved. Payment can be paid via VENMO, PAYPAL, or ACH PAYMENT. In the event payment is not received, the committee may select another vendor selling similar products in place of the vendor who has not paid.

Application below. In addition, DMRC may request up to Five (5) digital images of the items VENDOR intends to sell. DMRC expressly reserves the right to use these photos for publicity purposes.
Vendors may not have guest vendors, artisans, etc. without written approval from the Run for Refugees team. To request additional guests please email r4r@muslimrunningclub.com
All applications will be reviewed on a rolling basis as received.
Vendor Rules & Regulations
1. Previous year’s exhibitors / vendors have first option to return if they have complied with regulations and met our expectations.
2. Vendor space shall be attractive, neatly arrange and orderly. Well-assigned and function, utilizing professional display techniques.
3. Vendors should use no more space than was rented, fit into the area rented without crowding, wasting space, infringing on adjoining vendors ability to conduct business.
4. Vendor must prepare for the possibility of inclement weather conditions such as rain or wind.
5. Vendor must prepare for sales and provide personal source of internet and power (if needed.)
6. Vendors are required to be “open for business” status during the festival hours. Opening late or closing early, unless permitted by management, will result a ban from participating in any future DMRC community events.
7. Vendors bear the responsibility for all setup and security needs for booths. Vendors hold DMRC harmless for any loss or damage to any of the vendor’s property or any damage or loss sustained by a third party due to installation of set-up.
8. All vendors certify that they will cooperate with all standards and procedures, insurance requirements, and all state and city laws and ordinances pertaining to food services and tax reporting.
9. Vendors may not utilize loud speakers, or megaphone devices.
10. All requests or special needs must be made in writing and received with the completed application.
11. All vendors are responsible for reporting their own applicable taxes including income, state, and local taxes.
12. All vendors further agree to indemnify, defend, and hold harmless the Dallas Muslim Running Club (DMRC LLC.) from any and all claims, demands, loss or liability of every nature, for injuries to persons and/or property, occurring in or about or in any way connected with this Application or Agreement, DMRC LLC, or their service or any performance of their obligations under this Agreement or Application, to the extent such claims, demands, loss or liability arise out of the negligence or failure of the vendor/exhibitor, its officers, agents, employees, representatives, vendors, subcontractors, assigns, licensees, and/or invitees. In the event of any claims, demands, loss or liability arising under this section and their duty to defend, the exhibitor’s responsibility shall include the payment of all reasonable attorney’s fees and all costs of defense and/or litigation, mediation, arbitration, or any other similar claims process initiated under this Section.
13. Vendors must dispose of any waste in appropriate areas and within compliance to state and local laws. Vendors are responsible for their own waste and must dispose of it properly.
14. The person named on the application, or their named representative, must be present at all times to sell their items. A picture ID may be required at the time of check-in.
15. Vendors may not sell food and beverage items unless they are a food and beverage vendor as indicated on the application.
16. Roaming sales are by approval only, under normal circumstances all sales must take place in assigned booths.
17. All food and beverage permits must comply with City and County Health Department Standards. Food permits must be on hand at your booth.
Booth Rules & Regulations
1. Vendors will be provided a table and two chairs which will be assigned prior to arrival. Additional Tents, EZ-Ups and/or Umbrellas are permitted, but must be no larger than 10x10 and be self-supplied by the vendor.
2. All tents, EZ-Ups, and/or umbrellas must be properly weighted down.
3. Load In: Vendors must check-in and finish setting up their booths no later than 9AM on Event Day.
4. Load Out: Vendors must remove all of their booth materials and other possessions and exit Sam Houston Trail Park by 1:30 p.m. on Saturday, September 28. Vendors will be charged for any cleanup of items left behind in their area. This includes trash, tarps, discarded booth materials, etc.
5. Vendors must provide their own waste and recycling bins, and must remove all waste and recycling generated by their booth at the time of load out.
6. Electricity is currently not available. Vendors may bring generators, but all generators must be inverter-type generators, with sound restrictions of 70dB and below.
7. Portable restrooms will be available.
8. Vendors must supply their own power.
9. FOOD VENDORS: Food vendors are responsible for their trash removal and should supply seating and tables for customers (if applicable.)
